What the ICPS College Moodle LMS Is Used For

The ICPS College Moodle LMS is the College's online learning environment for enrolled students. It supports live-online, lecturer-led education by providing an organised location for programme information, module resources, directed reading, supplementary material, assessment guidance, submission activities, announcements and student feedback where these features are used within a particular course.

Moodle also supports independent learning. It does not replace required live attendance, lecturer engagement, supervision, skills practice, formal assessment procedures or direct communication from ICPS College. Students should treat the Moodle course page, official College email, lecturer instructions and current College policies as connected elements of the overall learning process.

What You May Find in Your Course Area

Depending on the programme, your Moodle course area may contain a course overview, timetable information, learning outcomes, introductory guidance and module sections arranged by week, topic, learning outcome or teaching sequence.

Students may also find lecture notes, presentations, articles, reading lists, worksheets, reflective exercises, recorded teaching, supplementary video or audio material, assessment briefs, marking information, submission links, declarations, announcements, reminders and lecturer instructions.

Grades, written feedback or annotated assessment files may also be released through Moodle following marking and moderation where this applies to the programme.

What the Platform Should Not Be Used For

Moodle should not be relied upon for emergency communications, urgent safeguarding reports or crisis support. Students must not share their passwords, allow another person to use their account, or submit work on behalf of another student.

Identifiable client, service-user or sensitive case material must not be uploaded unless ICPS College has expressly approved a secure process for doing so. Protected College recordings, lecture notes, presentations or lecturer intellectual property must not be redistributed.

Students should also retain their own secure copies of assignments, released feedback and study materials they are permitted to keep rather than relying on Moodle as their sole storage location.

Course arrangements can differ between programmes. Instructions provided within your own course, module or assessment activity take priority over the general guidance on this page.

Getting Started Before Your First Login

Set aside sufficient time to complete your first Moodle login before you urgently require a document, recording or assessment link. A laptop or desktop computer using a current internet browser is generally the most reliable starting point.

Where possible, use a private device, a stable internet connection and the email address associated with your ICPS College enrolment.

Prepare Your Student Details

Before logging in, have your full name, registered email address, course title and cohort information available. These details enable ICPS College to match you correctly with your student account and course area if assistance is required.

Avoid unofficial bookmarks, links contained in unfamiliar messages or search results that appear to belong to another institution.

Check Your Browser and Internet Connection

Use a current version of Google Chrome, Microsoft Edge, Mozilla Firefox or Safari. Required cookies should be permitted, together with legitimate downloads, pop-ups or media playback where these are needed by a course activity.

Create a Secure Password

Use a unique password that is not reused for your email account, social media account or another online learning service. Consider storing passwords in a reputable password manager rather than an exposed note or shared document.

Confirm That Your Course Is Visible

After signing in, check the Moodle dashboard and confirm that the expected course appears. If the course is missing, do not create another Moodle account. Record what is visible on your dashboard and follow the missing-course support guidance below.

Review Your Profile and Notifications

Check that your displayed name and email address are correct. Significant errors should be reported promptly because incorrect account information may affect notifications, student records or assessment identification.

Recommended First Actions After Login

Once logged in, open your course and read the welcome or introductory section carefully. Locate the module structure, course handbook, assessment information and announcement area.

Download any permitted essential documentation and store it in a clearly labelled course folder. Check the official timetable against direct communication received from ICPS College.

It is also advisable to open at least one learning resource and one video or audio item before you urgently need them. This allows you to establish that your browser and device are functioning correctly before an assignment deadline or live class.

Students should also keep a record of the formal support routes on this page so that they remain accessible even if Moodle login subsequently fails.

Student Login, Password Changes and Account Recovery

Many access problems are caused by an incorrect Moodle address, a typing error, an outdated saved password, a mismatch between the registered email address and the address entered, or a browser session that needs to be refreshed.

Before submitting repeated password reset requests, work through the following checks carefully.

How to Access the ICPS College Moodle LMS

Open the official Moodle login page and enter the username or email address issued or confirmed by ICPS College.

Enter your current password carefully. Check Caps Lock, keyboard language, accidentally copied spaces and password-manager autofill if the password is rejected.

Complete any required password-change or account-verification process. Once access has been obtained, confirm your displayed account name and course before opening resources or submitting assessment work.

Changing or Resetting Your Password

Use the legitimate password reset option displayed on the official Moodle login page. Enter the email address associated with your ICPS College student account and check your inbox together with spam and junk folders.

Allow a reasonable period for the reset email to arrive. Avoid requesting numerous password reset messages in rapid succession, as only the newest reset link may remain valid.

When selecting a new password, choose a secure and unique password and retain it safely.

Never send your Moodle password, password reset link, one-time authentication code or authentication secret to a lecturer, Registry staff member, technical support agent or fellow student. A legitimate ICPS College support process should not require disclosure of your password.

If the Password Reset Email Does Not Arrive

First confirm that the email address was entered correctly and check spam, junk, promotions and filtered folders. Search your mailbox for messages relating to ICPS College or the student learning platform.

Check whether your email mailbox is full or whether an institutional email filter may be preventing automated messages from arriving.

You can also attempt the process once using a private or incognito browser window.

If the issue remains unresolved, log one support ticket and include your full name, registered email address, course title and the exact error or difficulty encountered. Do not include your password.

Repeated Lockout or Unexpected Sign-Out

Close duplicate browser sessions and ensure that the date and time on your device are correct. Required browser cookies should be enabled.

Sign out fully, close the browser and reopen it before trying again.

If you are using a shared computer, remove saved login credentials and close the browser when finished.

If Moodle repeatedly signs you out, include your device type, operating system, browser and approximate time of the problem in your technical support ticket.

Using the Dashboard and Finding Your Course

The Moodle dashboard is the main starting point after login. It may display course cards, recently accessed materials, timelines, calendar entries, announcements or activity reminders.

The exact dashboard arrangement may differ between users, devices or Moodle updates. Students should therefore identify a course by its full title and cohort rather than relying solely on the position of a course tile.

Finding the Correct Course

Look for the complete course title and confirm that it corresponds with your enrolment.

Where Moodle provides filters, check current, in-progress, future and archived courses. A course search or course-overview function may also be available.

If several versions of the same course are displayed, select the course that corresponds with your cohort or commencement date.

Do not upload assessment work to an old, demonstration or unrelated course area.

Understanding Common Dashboard Areas

The Course Overview normally lists the Moodle learning spaces connected with your account and may allow you to sort or filter them.

The Timeline or Upcoming Activities section may display approaching deadlines and recently added activities. This information should always be checked against the official assessment brief and current ICPS College communication.

The Calendar may display Moodle activities and deadlines. It is an organisational aid and should not replace the official programme timetable.

Notifications may alert students to announcements or Moodle activity. However, failure to receive a notification does not remove the student's responsibility to check their course regularly.

The Profile Menu generally contains profile information, account preferences and the Moodle sign-out option.

If Your Course Is Missing

First confirm that you are logged into the correct Moodle account and that the course is expected to be available.

Take a screenshot of your dashboard, taking care not to expose passwords or unrelated personal information.

Log a technical support ticket containing your full name, registered email address, full course title, cohort or commencement date and the screenshot.

Modules, Learning Materials, Videos and Downloads

Course areas can be organised by module, week, topic, learning outcome or teaching sequence. Begin by reading the introductory text before opening individual files.

Introductory guidance often explains what should be read first, how the resource connects with the live class and whether an activity is compulsory, recommended or supplementary.

Common Moodle Resources

A Moodle Page contains information displayed directly within the course.

Documents may include PDFs, word-processing documents, presentations or spreadsheets.

Links can direct students to approved external websites, professional resources, readings or videos.

Folders contain groups of course resources that may need to be opened or downloaded separately.

Video and Audio Resources may include recorded teaching, demonstrations, revision material or supplementary academic commentary.

Activities can include assignments, quizzes, discussion forums, declarations, reflective activities or completion checks.

If a File Does Not Open

Select the resource once and allow sufficient time for it to load. Check whether the content opened in a new browser tab or whether the file was downloaded automatically.

Review your browser download list and the Downloads folder on your device.

Confirm that suitable software is installed to open the file type. If necessary, download the file again and compare it with the original download.

If the resource still cannot be opened, try another current internet browser or another device.

Downloading Videos and Protected Resources

Where Moodle provides a legitimate download option and downloading is permitted by ICPS College, students may use that option for authorised personal study.

Where no download function is provided, the resource should be treated as streaming-only.

Students must not use third-party applications, browser extensions or technical workarounds to bypass access controls, copy protected College recordings or redistribute protected ICPS College educational content.

Organising Your Independent Learning

Create a folder for your programme and separate folders for modules, readings, assessments and feedback.

Use clear and meaningful filenames and retain the original assessment brief alongside your working documents.

Important material should also be backed up securely in a second encrypted or access-controlled location.

Your Moodle course area should never be the only place where your own assessment work is stored.

Announcements, Messages and Notifications

Announcements and Moodle notifications help students stay informed about resources, teaching arrangements and assessment activities.

Announcements should be read in full and considered alongside official ICPS College emails, lecturer communication and the current course timetable.

Maintain access to the email address associated with your student account and check your spam or filtered folders regularly.

Students should access their Moodle course at least weekly during active teaching, even when no notification has been received.

Read the full announcement rather than relying solely on a shortened email preview, and retain important academic or administrative correspondence in an organised folder.

Always use the communication route specified by the lecturer or ICPS College rather than replying through an unrelated Moodle activity.

Academic Questions and Technical Questions

Questions about academic theory, reading, assessment requirements, marking, supervision or professional practice should be directed to your lecturer, course leader or Registry using the designated communication channel.

Problems relating to Moodle login, missing courses, file access, video playback, assessment uploads or platform errors should be directed to technical support.

A technical support ticket records and investigates a platform problem. It does not approve an extension, alter an assessment deadline or replace the College's academic or extenuating-circumstances procedures.

Live-Online Teaching, Recordings and Breakout Activities

ICPS College programmes are delivered through live, lecturer-led teaching supported by independent study.

Moodle may contain preparation material, revision resources and recordings where these are available, but access to Moodle does not replace required attendance or active participation in live teaching.

Before a Live Class

Review the relevant Moodle module and any preparation material before the class.

Download necessary worksheets or readings in advance and test your device, camera, microphone, headphones and internet connection.

Participate from an appropriate private environment, particularly where confidential or sensitive material may form part of the class discussion.

Recordings

A teaching recording may be provided for revision, quality assurance or student support where this is appropriate and permitted.

Recording availability can vary according to the course, class and type of educational activity.

Routine breakout rooms are not normally recorded. Formal assessment recordings may operate under different consent, assessment and quality-assurance arrangements.

All College recordings remain protected educational material. Students must not copy, republish, redistribute, screen-record or upload recordings to another platform.

Recordings should be used actively for learning. Students are encouraged to pause them to make notes, identify concepts requiring further reading and compare recorded material with lecturer guidance.

If a Recording Is Missing

Check course announcements, the relevant Moodle module and any dedicated recordings folder.

A recording may still be processing, may not yet have been released or may not have been created for a particular session.

Where the question concerns the academic availability of a recording rather than a technical playback fault, contact your lecturer or Registry rather than technical support.

Assessment Briefs, File Preparation and Submission

Always begin by reading the official assessment brief and the instructions contained within the relevant Moodle assessment activity.

Assessment titles, deadlines, word counts, file formats, declarations, submission methods, permitted attempts and marking arrangements can vary.

The instructions provided for your own assessment take priority over this general guidance.

Before Beginning an Assessment

Confirm the correct course, module, assessment title and cohort.

Read the complete assessment brief, learning outcomes, marking criteria and submission instructions.

Record the submission deadline carefully, including any time-zone information displayed.

Clarify unclear academic requirements early through the designated academic route.

Create a working assessment file and a separate backup from the beginning of your work.

Allow sufficient time before the deadline for proofreading, conversion into the required format, uploading and verification of successful submission.

Preparing Your Final Assessment File

Use the file type specified in the assessment instructions.

Open your final document before uploading it and check that every page, heading, reference and appendix is present.

Remove unnecessary tracked changes, comments, hidden notes and personal data unless they are expressly required.

Ensure that your file opens correctly and is not password-protected unless ICPS College has specifically instructed otherwise.

Follow any College naming convention. Where no naming convention is specified, use a clear filename that identifies the assessment appropriately without including unnecessary personal data.

Keep the final submitted version in a separate folder so that it cannot be confused with an earlier draft.

How to Upload an Assignment

Open the correct course and assessment activity and compare the assessment title carefully with your assessment brief.

Read the on-screen submission instructions, declarations and information about permitted attempts.

Select or drag your final file into the designated upload area and wait until the filename and completed upload state are visible.

Select the appropriate Save, Submit or Confirmation control.

Complete any final declaration or confirmation step presented by Moodle.

After submission, reopen the activity and verify the submission status, filename and recorded submission time.

Retain the submission confirmation or take a screenshot showing that submission was successful.

Draft Saved Versus Submitted for Grading

Some Moodle activities allow students to save work as a draft before formally submitting it.

The presence of an uploaded filename does not necessarily mean that the work has been formally submitted for marking.

Look for wording such as Submitted, Submitted for Grading, Final Submission or an equivalent confirmation.

Where Moodle presents a final-submit control or declaration, this must be completed before leaving the assessment activity.

If You Upload the Wrong File

Do not create numerous duplicate submission attempts without first checking the Moodle activity settings.

If Moodle still allows the file to be edited or replaced, follow the displayed process and then confirm that the correct replacement file has been uploaded.

If the assessment activity has become locked, take a screenshot of the current status and contact the relevant support or academic route promptly.

Replacing a file after an assessment deadline may require academic authorisation.

If an Upload Fails Near the Deadline

Do not close the Moodle page while an upload is still in progress.

Check your internet connection, file type, file size and filename.

Where time permits, try using a current private browser window or another device.

Record the exact error message, date, time and assessment title.

Take a screenshot and retain the final assessment document with its original file information.

Log one technical support ticket immediately and follow any separate ICPS College academic procedure that applies to deadlines or extenuating circumstances.

Academic Integrity

Students must submit their own work, retain accurate sources and comply with current ICPS College guidance concerning referencing, collaboration and the permitted use of digital or artificial-intelligence tools.

Grades, Feedback, Moderation and Academic Queries

Grades and feedback may be displayed within an individual Moodle assessment activity, within a grades area, through an annotated document or through another formal ICPS College process.

Visibility depends upon marking, moderation and release arrangements.

A blank grade field, hidden item or temporary status should not be interpreted as a final academic result.

When Results Are Released

Open the correct course and assessment activity and check for grades, written feedback, marking information or attached files.

Download any feedback you are permitted to retain and save a secure copy.

Read all feedback carefully before raising an academic query.

It is important to distinguish between a technical problem displaying feedback and an academic question relating to the judgement or mark itself.

Who to Contact

An inaccessible download, missing file or error page is normally a technical matter.

Questions concerning academic judgement, marking, moderation, reassessment, appeals or progression fall within the appropriate academic procedure and should be directed through the authorised College route.

Using Feedback Constructively

Use assessment feedback to identify what was achieved successfully, what requires further development and what specific actions can be taken before your next assessment.

Where appropriate, learning arising from feedback may also be explored with your lecturer or during supervision while maintaining confidentiality and appropriate professional boundaries.

Devices, Browsers, Internet and File Storage

A laptop or desktop computer is generally the most reliable device for extended study, document preparation, multiple downloads and final assessment submission.

A smartphone or tablet can be useful for checking announcements, reading documents or watching learning resources, but smaller screens and mobile file-management systems can make complex uploads more difficult to verify.

Recommended Study Setup

Use a current version of Chrome, Edge, Firefox or Safari.

A stable broadband or reliable mobile-data connection is recommended, particularly when streaming video or uploading assessment work.

Ensure that sufficient storage space is available for course resources and assessment backups.

Your device should have suitable applications for opening the PDF documents, word-processing files, presentations and media formats used on your programme.

Keep your operating system and security software current, use a screen lock and protect your device against unauthorised access.

Students should study and participate in sensitive course discussions from an appropriate private environment.

Browser Reset Sequence

If Moodle is not operating correctly, save any unsent work and close unnecessary browser tabs.

Reload the Moodle page once and allow it to finish loading.

If the problem remains, sign out, close your browser and reopen it.

Try accessing Moodle from a private or incognito browser window.

Where appropriate and safe, temporarily disable a browser extension that may be preventing a legitimate Moodle resource from loading.

If necessary, try another current browser, another device or an alternative internet connection.

Record which troubleshooting action changes the behaviour, as this information may assist technical support.

File Storage and Backup

Maintain at least two copies of important academic work in separate secure locations.

Use clear filenames and avoid working directly from temporary email attachments or browser downloads without first saving them into an organised folder.

If cloud storage is being used, confirm that the file has completed synchronisation before closing your computer.

Using Moodle on a Phone, Tablet or Compatible App

The ICPS College Moodle platform can be accessed through a mobile internet browser.

A compatible Moodle App may also be available where application access is enabled and the official ICPS College Moodle address is accepted.

If a Moodle App does not connect correctly, use a current mobile browser rather than creating another Moodle account.

Mobile access can be particularly useful for reading announcements, viewing short updates, reading smaller documents, reviewing video or audio resources and locating support information.

Where possible, use a laptop or desktop for writing assessed work, managing several readings simultaneously, uploading final assignments, checking the complete submission status and organising larger course resources.

Connecting a Compatible Moodle App

Install only the official Moodle application from your device's recognised application store.

When requested to enter the Moodle site address, use:

Sign in using the same authorised ICPS College student account.

If the Moodle App states that the site is unsupported or refuses the address, do not repeatedly create new accounts. Access Moodle through your browser and contact technical support with the exact message displayed by the application.

Technical Troubleshooting Guide

Start with the problem that most closely matches what you can see and complete the recommended troubleshooting steps in sequence.

If the problem remains, collect the information requested in the support section before submitting one technical support ticket.

Avoid opening multiple duplicate tickets for the same problem.

I Cannot Log In

Confirm that you are using the official ICPS College Moodle login page.

Check your username or email address carefully together with Caps Lock, keyboard language and accidentally copied spaces.

Remove an outdated password stored by your browser or password manager if necessary.

Attempt the legitimate password-reset procedure once and try logging in through a private browser window.

If access still fails, record the exact error message and submit a support ticket. Never include your password.

The Password Reset Email Has Not Arrived

Confirm that you entered the email address registered with ICPS College.

Check spam, junk, promotions and filtered folders and search your mailbox for Moodle or ICPS College.

Allow sufficient time for delivery rather than requesting multiple resets immediately.

Check that your mailbox is not full.

If the email still does not arrive, contact technical support and provide your registered email address and the approximate time the password reset was requested.

My Course Is Missing

Check that the displayed Moodle profile belongs to the correct student account.

Review current, future and archived course categories.

Confirm that your course is expected to have opened.

Take a screenshot of the Moodle dashboard and include your full name, registered email address, full course title and cohort information in one support ticket.

A Moodle Page Is Blank, Cut Off or Incorrectly Arranged

Return your browser zoom to a normal level and reload the page once.

Allow the page to load completely.

Try a private browser window and, where necessary, another current browser.

A conflicting content-blocking extension can occasionally affect Moodle. Disable such an extension only where it is safe and appropriate to do so.

If the display problem persists, capture a screenshot of the full page and include details of your browser and device in your support request.

A Document Will Not Open

Check whether the document has downloaded to your device.

Confirm its file extension and that compatible software is installed.

Download the document again and, if necessary, try another current browser or device.

When contacting support, include the exact course, module and resource title.

A Video Has No Picture, Sound or Playback

Check your device volume, mute controls, headphones and selected audio output.

Allow the page to load fully before beginning playback.

Pause the video, wait briefly and restart it.

If the issue persists, try another current browser or a private window.

Check whether a browser privacy setting or extension is blocking media playback.

You can also test another internet connection or device.

When reporting the problem, include the exact video title and confirm whether other Moodle videos work correctly.

An Upload Stalls or Fails

Check the permitted file type and maximum file size displayed in the assessment activity.

Open your document locally and make sure that the file itself is not damaged or corrupted.

Use a clear filename without unusual symbols.

Move to a stable internet connection and avoid changing networks during the upload.

Try a private browser window or another current browser where necessary.

If the problem continues, take a screenshot and record the exact error message and assessment activity title.

I Cannot Delete or Replace a Submission

Some assessment activities do not permit students to delete or replace a file after final submission.

Check whether Moodle displays an Edit, Remove Submission or Replace File option.

If no such option is available, do not upload repeated duplicate files.

Record the current submission status and contact the appropriate technical or academic route.

Any alteration to an assessment after the official deadline may require formal academic approval.

I Did Not Receive an Announcement or Notification

Check the course announcement area directly rather than relying exclusively on email.

Confirm that your Moodle profile contains the correct email address and check spam folders and mailbox rules.

Review your Moodle notification preferences where available.

The Moodle course itself and the official ICPS College timetable should remain your primary reference.

Moodle Is Running Slowly

Close unnecessary browser tabs and applications.

Pause other large downloads or streaming services using the same connection.

Try another internet connection if one is available.

Determine whether the slowdown affects one particular Moodle resource or the entire platform.

If the issue continues, include the date, time, device, browser and affected Moodle activity in your support ticket.

Before Contacting Technical Support

Before opening a support ticket, establish whether the problem can be repeated and try one current alternative browser.

Record the full course, module and Moodle activity involved.

Copy the exact error wording rather than describing it only generally.

Take a screenshot that does not display your password or unrelated personal information.

Explain what you were attempting to do, what you expected to happen and what happened instead.

One detailed support request is easier to investigate than several short messages submitted through different communication channels.

Keep your ticket reference and, where possible, add subsequent information to the same support case.

Information You Should Never Include

Never send your Moodle password, reset code or authentication secret.

Do not submit full payment-card information or bank details in a Moodle technical support ticket.

Do not send unredacted client or service-user information, another student's personal or academic information, or unnecessary large attachments.

Avoid opening duplicate support requests for the same problem.

Urgent welfare or safeguarding matters should not be handled through the Moodle technical support system. Moodle and the technical support portal are not emergency services. Follow the appropriate ICPS College procedure and contact the appropriate emergency or specialist service where immediate risk exists.

Account Security, Confidentiality, Copyright and Academic Integrity
